Summary:  Provide an excellent customer care experience to our Patients. Your presence and greetings are the first impression Patients have of Bone & Joint both in person and over the phone, and they must be good impressions. The responsibility of the Float position requires travel to any of our locations as business needs arise.  Hours vary between 7am-7pm, M-F and apx 1:4 Saturday rotations from 8-4:30pm.

 

Essential Duties and Responsibilities include the following.  Other duties may be assigned. 

Front Desk Registration:

  1. Greet and check in Patients, obtaining all necessary information, signed forms and other information, documents, records and/or films. Making sure all patient information is accurate and all fields are completed in the EMR system.
  2. Make appointments for Patients, obtaining and providing all required information. Making sure all patient information is accurate in the EMR system.

 

  1. Round on Patients in the waiting room.
  2. Answering the telephones.
  3. Collect all applicable copays and other required amounts. 
  4. Address other Patient needs, or get the proper person to do so.  This includes staying past your scheduled hours on a regular basis to ensure that a Registration Staff is present as long as there is a Patient and/or Patient family member at the clinic.
  5. Work closely with referring Physicians and their Staff to bring in referral Patients efficiently and accurately, obtaining all necessary records, films or other documentation, so that it arrives in advance of the Patient's appointment.
  6. Participate in rotations to cover evening and/or Saturday clinics as assigned and requested changes from time to time as needed.
  7. Protect and account for the cash kept in the Registration.  Receive cash from patients and make change for patients.

 

  1. Take deposits to the bank and complete appropriate deposit scanning to payment posters.

 

  1. Scan documents to the HIM dept. timely.

 

  1. Cross train in the other Registration areas as applicable for business needs.
  2. Coordinate with interpreter services for our non-English-speaking patients and other language barriers via Interpreting services.
  3. Care for the appearance of the patient waiting areas; keep them tidy throughout the day

 

  1.  Some traveling between the Bone and Joint locations for coverage as applicable will be expected
  2. Open and close the Registration area according to procedures.

 

Call Center Duties:

 

  1. Answer incoming calls from internal and external patients, customers, staff, etc. and transferring the calls to the correct Department or person.
  2. Complete the next available report and other reports as assigned.
  3. Page providers on call or as needed.
  4. Page overhead during emergency situations.
  5. Process and distribute mail
  6. Order flowers for total joint patients
  7. Work with Presto paging service for Provider on call and evening messages
  8. Send certified mail, UPS and/or FedEx packages.
  9. Complete IDL scanning to the HIM Dept.
  10. Complete EOB filing through IDL
  11. Handle other projects as assigned.

 

 

Appointment office:

 

  1. Answer all incoming calls and schedule patients for appointments with all of our Providers for all locations.
  2. Work all incoming referrals to Bone & joint from outside facilities
  3. Schedule patients from the EMR bucket that have been reviewed with clinical and/or Providers with scheduling direction.
  4.  Send out appropriate paperwork to the scheduled patients.
  5.  Work with the Pain Management teams for scheduling and paperwork.

 

 

All Areas of Registration:

  1. Follow all policies and procedures of the organization and department.
  2. Contribute to improving processes, procedures and the Patient experience at Bone & Joint.
  3. Handle other projects as assigned.

 

 

 

Education/Experience:  High School graduate or equivalent.  Must possess a valid and unrestricted WI Drivers License.

 

Qualifications:  Experience in medical registration preferred.  Classes, knowledge and/or experience with Microsoft Word and Excel preferred.  Excellent communications skills required. Patience and ability to work with people at all levels, internal and external, required.  Experience or ability to handle cash, receive and account for Patient payments.  Compassion for Patients required.  Ability to help Patients or to get medical help for Patients in an emergency required.
