Position Description:  Responsible for the leadership, operations, training and support for all Health Information Management (HIM) functions on behalf of Bone and Joint. Acts as an electronic medical record subject matter expert as it relates to utilization in the HIM department.  This position will work primarily out of our business office in Schofield, WI.

 

Essential Duties and Responsibilities

 

Incoming Medical Records:

  1. Supervise the requesting of records needed for our providers prior to the patient's visit.
  2. Ensure records needed for a patient visit are scanned into EMR or other system as appropriate.
  3. Ensure the record retrieval process is being followed so that the records requested meet the HIPAA Minimum Use and Disclosure provisions.
  4. Perform routine Quality Review. To ensure the Incoming Medical Records process is being followed.
  5. Streamline workflows for increased efficiency.

 

Release of Medical Records:

  1. Ensure that all requests for release of records are authorized according to regulations.

 Ensure timely release of records if release meets compliance standards.

  1. Ensure only the minimum documentation needed to meet the authorized request is released
  2. Keep current with ongoing or new legislative issues related to the release of information.
  3. Assist with complicated attorney requests to protect us from any possible liability issues related to the release of medical records.
  4. Review and monitor the quality of records released and documentation in any applicable release logs needed for compliance requirements.
  5. Work with third party records release vendor for timeliness, accuracy of records being released on behalf of Bone and Joint.

 

Transcription:

  1. Supervise the workflow and timeliness to and from our transcription service.
  2. Perform quality reviews of the service bureau's transcription, as well as the documentation of BJC providers who do direct entry into the EMR.
  3. Facilitate the resolution of issues between the third party transcription service and Bone and Joint.
  4. Responsible for working with the Informatics team on electronic medical record corrections needed.

 

Patient Documents:

  1. Ensure scanning is being completed in a timely and efficiently manner.
  2. Work with our third party scanning vendor to resolve any quality service issues.
  3. Work with staff and other departments to increase utilization of scanning and indexing software.
  4. Ensure that outdated documents are properly disposed of according to the Bone and Joint record retention policy.
  5. Ensure that record retention requirements are being adhered to for both BJC and BJOSC.
  6. Perform routine quality review for scanning accuracy
  7. Responsible to monitor and review quality of outgoing referrals.

 

 

Supervisory Responsibilities:

  1. Accountable for supervising the quality, operations and production within the HIM Dept.
  2. Oversee daily department workflow and problem resolution
  3. Responsible for coordinating and conduction ongoing training for HIM staff related to HIM specific workflows.
  4. Demonstrates presentation and teaching skills necessary to train and/or update staff on workflows.
  5. Ensures cross-training occurs to cover unexpected/planned Absences. Accountable for developing, implementing and reviewing departmental policies
  6. Develop documentation for all procedures.
  7. Assist the Informatics Manager with the department budget.
  8. Responsible for interviewing/hiring of HIM staff
  9. Responsible for the orientation of new HIM staff
  10. Actively contribute to the morale and teamwork of staff and facility, and always present a positive attitude and patient-minded vision, with patient satisfaction as the continuing goal.
  11. Complete staff performance reviews on a timely basis.
  12. Mentor staff, identify deficiencies and take corrective action when necessary documenting actions
  13. Facilitates weekly/monthly team meetings/huddles.
  14. Round on employees on a monthly basis
  15. Round on patients on a monthly basis
  16. Responsible for HIM team member timesheets.
  17. Perform staff job duties or find coverage for them during leaves or position openings or changes as necessary.
  18. Maintain professional certification and participate in professional development activities.
  19. Communicate effectively at all levels, internally and externally, within the organization, and express ideas and information clearly and concisely in verbal and written form.
  20. Adhere to strict HIPAA/confidentiality standards, and maintain confidentiality of all patient, client and facility information at all times, both while on and off duty.
  21. Provide orientation and education to new employees (non-HIM employee) regarding Health Information Department and Release of Information.
  22. Communicate/Work with outside vendors as necessary to ensure quality services related to Health Information Department.
  23. Prepare weekly/monthly productivity reports as requested.

 

Education and/or Experience Required: 

  1. Minimum 2 years' of supervisory experience in HIM or related field. 
  2. Minimum 5 years' of medical records release and requesting.
  3. 2-5 years' experience with an EMR. 
  4. 2-5 years' experience with documents management in an electronic environment.
  5. Registered Health Information Technician (RHIT) required.
  6. Management and knowledge of medical records retention and regulation.
  7. 1-2 years' experience with transcription, quality monitoring.
  8. Staff training and development experience, such as would be obtained through the supervisory requirement.
  9. Excellent communications, both verbal and written.

 

 

 

Additional Qualifications Desired:

  1. Certified Medical Transcriptionist (CMT) or Registered Medical Transcriptionist (RMT) desirable.
  2. Experience working with HIM service bureaus, such as medical transcription, release of information and documents management.
  3. Certified professional coder in any field or specialty.
  4. Knowledge of ICD 10 CM.
  5. Knowledge of CPT.
